Out of Office (Auto-Reply)

An out-of-office auto-reply sends an automatic response to anyone who emails you while you are away. You set it up in webmail.

Setting Up an Auto-Reply

  1. Log in to webmail
    Sign in at https://webmail.yourdomain.com. See Accessing Webmail if you need a hand.
  2. Open Settings
    Click the Settings (gear) icon, then choose Out of Office from the list.
  3. Write your reply
    Fill in the Subject and Body of the message recipients will receive.
  4. Set the dates (optional)
    Enter a Start time and End time if you want the reply to run only for a set period.
  5. Turn it on
    Change Status from Off to On.
  6. Save
    Click Save. Your auto-reply is now active.

Reply Message & Schedule

FieldWhat it does
SubjectThe subject line of the automatic reply (e.g. “Out of office”).
BodyThe message itself — let people know when you will be back and who to contact in the meantime.
Start timeDate (YYYY-MM-DD) and time the auto-reply begins. Leave blank to start immediately.
End timeDate and time it stops. Leave blank to run until you switch the status off.
StatusOn activates the auto-reply; Off disables it.

Remember to switch it off

If you set an End time, the reply stops automatically. If you leave the dates blank, set Status back to Off when you return.

Advanced Settings

These optional fields give you finer control. The defaults are fine for most people.

Reply sender addressThe address the auto-reply is sent from. Leave blank to use the address the original message was sent to.
My e-mail addressesYour own addresses, so the system only auto-replies to mail genuinely addressed to you. Use Fill with all my addresses to populate this automatically.
Reply intervalHow many days to wait before sending another auto-reply to the same sender, so people are not replied to repeatedly.
Incoming message actionWhat to do with incoming mail while away — Keep (recommended) leaves messages in your inbox as normal.

Send yourself a message from a different account to confirm the auto-reply arrives as expected before you head off.
